Kemback Business vs QuickBooks Online

QuickBooks Online is the most established small business accounting service, with payroll, payments, over 800 app integrations and a large accountant network. Kemback Business keeps your business books, your rental homes and your personal money on one login, exact to the cent, at one household price per add-on.

The short answer

Choose QuickBooks Online if you need payroll, card payments on your invoices, inventory, a large app ecosystem, or an accountant who already works in QuickBooks. It is the default choice for many small businesses for good reasons, and Kemback Business doesn’t try to replace those parts.

Choose Kemback Business if your business sits alongside your household money and perhaps a few rental homes, and you want all of it on one login, exact to the cent, without paying for and reconciling separate products. Small Business keeps the books for as many companies as your household runs, for one household price, and Rental Houses keeps your homes, tenants and Schedule E.

Who QuickBooks Online suits

QuickBooks Online has a plan for most stages of a small business, from a free plan with one connected bank and two invoices a month up to Advanced with 25 users, custom dashboards and project cost allocation. The plans in between add bill pay, more users, bank reconciliation (on Plus and Advanced), inventory (on Plus and Advanced) and project profitability.

Its biggest advantages are breadth. Intuit says QuickBooks integrates with over 800 business apps. Payroll is offered as an add-on bundled with a plan. QuickBooks Payments lets customers pay invoices online. The ProAdvisor program trains and certifies accountants, so many bookkeepers and tax preparers already know it. For a one-person business, QuickBooks also offers QuickBooks Solopreneur, a separate product with Schedule C reporting, mileage and receipt tracking.

Where Kemback Business is different

Personal, business and rentals on one login. Kemback started as personal finance software for households. Kemback Business adds your companies, each with its own double-entry books, and your rental homes. The same bank connections, rules and review inbox serve all of it, and personal views leave business accounts out unless you ask to include them.

Books built for the tax forms. Each company’s chart of accounts maps every income and expense account to its Schedule C line, so the year’s Schedule C summary comes straight from the books. Mileage is priced at the IRS rate in force on each trip’s day, the simplified home office goes on line 30, and 1099-NEC tracking shows who crossed that year’s threshold. Kemback organises the figures; it never files anything.

Rental Houses for small landlords. Homes rented whole or by the room, tenants and tenancies with no double booking, leases signed inside Kemback with Kemback Sign, rent and deposits recorded and matched to your bank deposits, a security deposit held as a liability rather than income, mortgages split into principal, interest and escrow, expenses on their Schedule E lines, a calendar with seasonal pricing and iCal sync with listing sites, and a free tenant portal. See rental property tracking.

Exact to the cent, no data sold. Every amount is whole cents, and every journal entry must balance to the cent before it’s saved. Kemback is paid for by its plans, not ads, and bank sync goes through Plaid without Kemback ever seeing your bank password. Read more on security.

Payments recorded, not taken. Kemback doesn’t process card or bank payments. Customers and tenants pay you directly, and Kemback records the payment and matches it to the deposit. That means no processing fees from Kemback, but also no “pay now” button on your invoices.

Where QuickBooks Online is stronger

Be clear about this before you choose:

  • Payroll. Kemback doesn’t run payroll and has no plans to build it.
  • Payments. QuickBooks Payments lets customers pay online; Kemback only records payments.
  • Integrations and inventory. Over 800 apps, and inventory on Plus and Advanced. Kemback has neither.
  • Filing. QuickBooks Advanced includes 1099 e-filing with Bill Pay Elite. Kemback doesn’t file; it gives you a 1099 CSV to e-file through a third party.
  • Accountants. Many accountants already work in QuickBooks. Kemback’s advisor role gives an accountant read-only access, but your accountant may prefer their own tools.
  • Mobile. QuickBooks has mobile apps. Kemback’s Small Business is on the web.

Switching from QuickBooks Online

A QuickBooks import is planned for later. Until then, the clean way to move is at a year or quarter boundary:

  1. Export your QuickBooks reports (profit and loss, balance sheet, open invoices and bills, and your customer and vendor lists) and keep them with your records.
  2. In Kemback, switch on Small Business, add your company, and give it the bank and card accounts that belong to it, connected through Plaid or imported from your bank’s files.
  3. Enter opening balances from QuickBooks’ balance sheet on the boundary date, then enter the invoices and bills still open.
  4. If you have rentals, switch on Rental Houses and add your homes, tenants and leases.
  5. Keep your QuickBooks file available for your accountant for the years already closed.

Bottom line

QuickBooks Online is the broader business product: payroll, payments, inventory and a huge ecosystem. Kemback Business is for owners who want their household, their rental homes and their business in one place, exact to the cent, with no data sold.
